Creating Conscious Time Management Strategies

Chapter 1 Understanding Conscious Time

In today's fast-paced workplaces, a significant number of product managers and professionals often feel overwhelmed. It's not just during the workweek; the sensation of "THE TIME SQUISH" can extend into our weekends as well, leaving us with a persistent sense of inadequacy regarding time—whether it's to reflect, complete tasks, or simply unwind.

At one point, I found myself entrenched in 12-hour workdays filled with back-to-back meetings spanning three time zones. Juggling countless stakeholders left me feeling perpetually behind, stripping away any enjoyment from my work. Although I have implemented numerous changes to my workflow and continue to refine my approach, I still have not mastered the art of time management. However, I can confidently say that I am now happier and more intentional about how I allocate my time and energy, both professionally and personally.

To aid you in making more deliberate choices about your time, consider the following insights:

Section 1.1 Identify Your Core Values

Understanding what truly matters to you and defining your "why" is crucial. I recently listened to an insightful episode of the How to Build A Happy Life podcast that discussed how many individuals stumble into purpose rather than actively seeking it out. Instead of starting with a clear "why," we often look back at our experiences to construct our purpose, which can lead to dissatisfaction.

There are two types of challenges we face regarding our focus:

  1. The challenge of realizing we are misaligned and need to change our priorities.
  2. The challenge of the introspective work required to understand what we value most and why.

Both are demanding, yet you can choose which path to take.

Section 1.2 Rethink Your Perception of Time

For most of my life, I viewed time as an infinite resource. However, in recent years, I've come to appreciate that while money may seem abundant (considering the complexities of financial challenges and inequality), our time and energy are limited.

By conceptualizing time as a finite resource, I've learned to maximize its utility. I now visualize my time in defined blocks, placing them on my calendar, and consciously managing these blocks to preserve my focus. Time is our most valuable asset!

I admire Shreyas Doshi and Linda Zhang for their insights on time management. Doshi's LNO Effectiveness Framework categorizes tasks into three buckets:

  • Leverage: Aim for excellence.
  • Neutral: Meet expectations without overdoing it.
  • Overhead: Complete the task with minimal effort.

This framework helps clarify where to invest your energy. Zhang’s Opportunity Cost Mindset encourages us to evaluate whether a task is the best use of our time.

Chapter 2 Optimizing Personal Productivity

Section 2.1 Discovering Your Best Operating Conditions

Determining how you function best can be a challenge, as it's not a one-size-fits-all scenario. I recommend experimenting with different methods to find what enhances your productivity. For instance, while many advocate for early rising as optimal, it may not work for everyone due to varying life circumstances.

Testing different routines and reflecting on what yields the best results for you—whether it's your mood, decision-making, or overall performance—is essential. Conducting regular retrospectives can also provide clarity. At the end of each week, assess when you felt your best and worst, and analyze what you accomplished.

Section 2.2 Prioritization and Protection

I dislike the term "ruthless prioritization" because it implies a lack of compassion for oneself. Instead, prioritize with kindness towards yourself. Recognizing your non-negotiables helps you allocate your time blocks wisely.

Consider these strategies:

  • Batch similar tasks to reduce friction, as suggested in Atomic Habits.
  • Organize your day around themes to enhance focus.
  • "Unclog the pipe" creatively, like Ed Sheeran does in songwriting, to foster better ideas.
  • Learn to say "no" when tasks don't align with your priorities.

Section 2.3 The Importance of Blank Space

My relationship with my calendar is complex; while it helps me stay organized, it also needs flexibility to accommodate unexpected opportunities. Leaving room for spontaneity can lead to discovering new ideas and experiences.

It's not surprising that many claim to have their best thoughts in the shower—allowing the mind to wander can bridge our internal and external worlds in valuable ways.

In conclusion, I urge you to reflect on whether you prioritize productivity or true value and meaning in your life. As I continue to refine my approach, focusing on value has not only felt more fulfilling but has also enhanced the quality of my outcomes.

How do you consciously manage your time? I'd love to hear your thoughts!
